Refund Policy

1. General Principle

Nexivol's services are professional services — work that begins immediately upon engagement and involves expert time, regulatory interactions, and third-party processes. Our refund policy reflects this reality: we are fair, but refunds are tied to what work has been completed at the time a refund is requested.

2. Tax Filing Services (FBR, UAE VAT, UAE Corporate Tax, US Tax)

• Full refund: If you request a refund before we have commenced work on your filing, you are entitled to a full refund of the service fee paid
• Partial refund: If work has commenced (documents reviewed, return prepared but not yet submitted), a partial refund may be issued reflecting the work completed. The amount is determined at our discretion based on work done
• No refund: Once a return or document has been submitted to the relevant authority (FBR IRIS, EmaraTax, IRS, HMRC), no refund is available as the service has been fully delivered
• Government fees: Government filing fees, penalties, and regulatory costs paid to authorities are non-refundable under any circumstances as these are third-party costs not controlled by Nexivol

3. Company Registration (SECP SMC / Pvt Ltd)

• Full refund: If you cancel before we begin the registration process (before name reservation is filed), full refund of Nexivol's service fee is available
• Partial refund: If name reservation has been filed but incorporation is not yet complete, a partial refund is available less a processing fee of PKR 2,000 / AED 30
• No refund: Once the Certificate of Incorporation is issued by SECP, the service is complete and no refund is available
• SECP government fees: Non-refundable once paid to SECP regardless of the stage

4. Accounting & Bookkeeping Retainers

• Monthly retainer fees are payable for the month in which services are provided
• If you cancel a retainer mid-month, you are charged for the full month in which notice is given; no charge applies from the following month
• Retainer fees paid in advance for future months are refundable in full if cancelled before the period commences
• Setup fees for new retainer clients are non-refundable once onboarding work has commenced

5. Business Setup (UAE Freezone / Mainland)

• Full refund: If you cancel before any applications or documents have been submitted to the relevant zone authority or DED
• Partial refund: If the process has commenced, refund is available less work completed, assessed at our discretion
• No refund: Once a trade license or establishment card has been issued, the core service is complete
• Government and zone fees: Non-refundable once paid. These fees are paid to third parties (free zone authorities, DED, immigration) and are outside our control

6. Technology Services (Web, App, AI, Marketing)

• Technology projects are scoped and quoted in writing before commencement. Once a project starts, fees for completed milestones are non-refundable
• If Nexivol fails to deliver an agreed milestone within the agreed timeline without a valid reason, you may request a partial refund proportional to the undelivered work
• Monthly digital marketing retainer fees follow the same policy as accounting retainers above
• Domain registration, hosting fees, and third-party software licenses purchased on your behalf are non-refundable

7. How to Request a Refund

To request a refund:

1. Email info@nexivol.com with subject line "Refund Request — [your name] — [service]"
2. Include your name, the service engaged, the fee paid, and the reason for your refund request
3. We will respond within 3 business days with our assessment
4. Approved refunds are processed within 7 business days to the original payment method

8. Disputes

If you disagree with our refund decision, you may escalate by emailing info@nexivol.com with "Dispute" in the subject line. We will review your case within 5 business days. Our goal is a fair outcome — if we made an error or underdelivered, we will acknowledge it and make it right.
